At MyTravkko, we understand that travel plans can change unexpectedly. This Cancellation and Refund Policy outlines the terms and conditions for cancelling your bookings and requesting refunds. Please read this policy carefully before making a reservation.

1. Cancellation Timeframes and Refund Eligibility

Refund amounts are determined based on when you cancel relative to your scheduled departure date:

2. Day Tours and Activities

For single-day tours and activities, the following cancellation policy applies:

  • 48+ hours before activity: Full refund (100%)
  • 24-47 hours before activity: 50% refund
  • Less than 24 hours before activity: No refund
  • No-shows: No refund under any circumstances

3. Flight and Transportation Bookings

Flight and transportation bookings are subject to the cancellation policies of the respective airlines and carriers:

  • Refundable tickets: Subject to airline's refund policy (processing fees may apply)
  • Non-refundable tickets: Cannot be refunded, but may be eligible for travel credits
  • Name changes: Not permitted on most discounted fares
  • Date changes: Subject to airline change fees and fare differences
  • MyTravkko charges a $50 administrative fee for flight cancellations and changes

4. Hotel and Accommodation Bookings

Hotel cancellation policies vary by property and rate type:

  • Free Cancellation: Cancel by specified date for full refund
  • Non-Refundable: Full payment required at booking, no refunds for cancellation
  • Partial Cancellation: Some properties offer partial refunds based on cancellation timing
  • Please check your specific hotel's cancellation policy at the time of booking

5. How to Cancel Your Booking

To cancel your booking, you can use any of the following methods:

  • Online: Log into your MyTravkko account and navigate to "My Bookings"
  • Email: Send cancellation request to info@mytravkko.com

Please have your booking reference number ready when requesting cancellation.

6. Refund Processing

Once your cancellation is confirmed, refunds will be processed according to the following timeline:

  • Credit Card Payments: 7-14 business days to reflect on your statement
  • PayPal: 3-5 business days
  • Bank Transfers: 10-15 business days
  • Cash Payments: Processed via bank transfer within 10 business days
  • Refunds are issued to the original payment method used at the time of booking

7. Non-Refundable Items

The following items are generally non-refundable:

  • Visa processing fees
  • Travel insurance premiums
  • Service fees and administrative charges
  • Peak season surcharges (once applied)
  • Special event tickets (concerts, festivals, sporting events)
  • Customized itinerary planning fees

8. Changes and Modifications

If you need to modify your booking instead of canceling:

  • Date Changes: Subject to availability and may incur fees
  • Destination Changes: Treated as cancellation and new booking
  • Traveler Name Changes: $25 fee per name change
  • Room/Service Upgrades: Additional charges apply
  • Changes requested within 7 days of departure may not be accommodated

9. Force Majeure and Exceptional Circumstances

In the event of unforeseen circumstances beyond our control, special considerations may apply:

  • Natural Disasters: Earthquakes, floods, hurricanes, volcanic eruptions
  • Pandemics/ Epidemics: Government-imposed travel restrictions
  • Political Unrest: Civil unrest, terrorism, war
  • Weather Conditions: Extreme weather preventing travel

In such cases, we will work with you to:

  • Reschedule your tour to alternative dates at no additional cost
  • Provide travel credits for future use (valid for 12 months)
  • Offer partial refunds based on recoverable costs from service providers

Note: Cash refunds are not guaranteed under force majeure conditions. We strongly recommend purchasing comprehensive travel insurance.

10. Travel Insurance Recommendation

We strongly recommend purchasing comprehensive travel insurance that covers:

  • Trip cancellation and interruption
  • Medical emergencies and evacuation
  • Lost, stolen, or delayed baggage
  • Flight delays and cancellations
  • COVID-19 related cancellations and medical expenses

Travel insurance can protect your investment and provide peace of mind. Ask our agents about available insurance options when booking.

11. Group Bookings

For group bookings (10 or more travelers), special cancellation terms apply:

  • 90+ days before departure: 100% refund minus deposit
  • 60-89 days before departure: 75% refund
  • 30-59 days before departure: 50% refund
  • Less than 30 days before departure: No refund
  • Group deposits are generally non-refundable
  • Partial group cancellations may affect pricing for remaining travelers

12. Peak Season and Holiday Bookings

Bookings made during peak seasons (December-January, Easter, Summer months) and major holidays may have stricter cancellation policies:

  • Full payment required at time of booking
  • Cancellation fees apply immediately after booking
  • No refunds for cancellations within 30 days of departure
  • Date changes may not be permitted

13. No-Show Policy

Failure to show up for your scheduled tour, activity, or transportation without prior cancellation notice will result in:

  • 100% forfeiture of the total booking amount
  • No refund under any circumstances
  • No rescheduling option for no-shows
  • Additional fees may apply for rebooking

14. Partial Cancellations

If you need to cancel only part of your booking (e.g., reducing number of travelers):

  • Cancellation fees apply based on the cancelled portion's value
  • Remaining travelers may need to pay price differences if group rates were applied
  • Single traveler supplements may apply for remaining travelers
